Company Description

We are a service provider for Local Authorities, providing semi-supported accommodation to 16-18 year looked after children. 

We are now seeking to appoint a mature Business Support Officer to join the team in our busy Wolverhampton office on a permanent basis.  The candidate will be part of the Senior Management Team and will therefore be handling sensitive information and bound by a confidentiality agreement.

Candidate will be supporting the team with administration duties.  Candidate will need to take responsibility for their work load and take ownership of tasks from start to finish. 

This position would suit a mature individual who can bring their qualifications and experience working in a fast-paced admin environment to this role, showing initiative, introducing effective systems and driving business support of the company forward.

Hours:

Monday To Friday 9.30 am - 5.30 pm

Essential Skills Required

  • Must be proficient in using Outlook, Word and Excel, Note taking, taking meeting minutes and compiling.
  • 12 months experience of working in an admin role
  • Excellent organisational, communication and writing skills
  • The ability to work independently and in a team
  • Good time management skills
  • Flexibility with attitude and shift patterns
  • Empathetic individual, who will relate to our service users.
  • Someone who can absorb and process information quickly and effectively
  • Data Entry experience – speed and accuracy essential
  • Excellent telephone manner
  • Able to prioritise workload.
  • Attention to detail
  • Able to use own initiative.

Desirable Skills

  • Full Driving license
  • Business Administration qualification Level 3 or above.

Duties include

  • Ensuring the office is run methodically and organised so that the business can run smoothly.
  • Filing, photocopying, scanning, making new files for young people, staff and properties.   
  • Carrying out regular file audits to ensure all files are up-to-date and include the information required. If information is not present, locating missing information and obtaining this to add to files. 
  • Managing queries and requests for information, drafting and co-ordinating effective responses as appropriate from staff, external agencies and local authorities.
  • Organising and co-ordinating meetings, events and communications to ensure these run smoothly and achieve their purpose.
  • Taking minutes for meetings and uploading to staff portal.
  • Purchasing office stationery and equipment when requested/authorised by a manager.
  • Using internal software systems: MeLearning, WebFleet and Compliance Systems and Staff Portal on website (Extensive training will be provided).
  • Ensuring confidentiality is maintained of sensitive information at all times.
  • Supporting registered manager with recruitment. Calling shortlisted candidates for interview, gaining references, doing compliance checks.
  • Supporting registered manager with staff inductions.
  • Carrying out all duties the Manager may request of you as and when required.
  • Presenting a flexible attitude towards issues that arise through the day and being able to prioritise when this happens.
  • Build effective relationships with colleagues and customers internally and externally to ensure smooth delivery of tasks and activities to provide high levels of customer services.
  • Able to respond to allocated work independently and refer more complex problems to a more senior manager.

Qualifications

Qualifications required

  • Candidate MUST have at least 12 months Business Administration experience.
  • GCSE ENGLISH AND MATHS IS ESSENTIAL.
  • Business Administration/Personal Assistant qualifications.
  • Training within child protection, challenging behaviour, substance misuse, health and Safety, risk will be provided by the company for compliance purposes.

Update training will be provided by the company.
